What's the difference between GPS Location Tracking & Last-Scan Location Tracking?

How to scan with Invisi-Tag software
To scan with Invisi Tag software, you will need the following:
- An Invisi Tag RFID scanner
- Invisi Tag RFID tags
- A computer with the Invisi Tag software installed
Once you have all of the necessary materials, follow these steps to scan your equipment:
- Open the Invisi Tag software.
- Place the RFID scanner near the RFID tag.
- Press the trigger on the RFID scanner.
- The software will display the information from the RFID tag.
You can repeat these steps to scan multiple RFID tags. Once you have scanned all of the RFID tags, you can view the information in the Invisi Tag software.
Here are some additional tips for scanning with Invisi Tag software:
- Make sure that the RFID scanner is close to the RFID tag. The closer the scanner is to the tag, the easier it will be to scan.
- Make sure that the RFID tag is facing the scanner. The RFID tag should be in the direct line of sight of the scanner.
- If you are having trouble scanning the RFID tag, try cleaning the tag with a soft cloth.

What does RFID stand for?
Invisi-Tag offers an Enterprise Edition that stores all of the customers' information/reports. All the information will be backed up to allow the customer to have all relevant information at their disposal. Each customer will have their own unique login and will be able to view any and every information/reports that were pushed to the cloud.
What is the difference between metal and non-metal RFID tags?
The metal tags are used on any metal surface or heavily dense metals. Non-metal tags are used to detect any equipment that consists of wood, plastic, cardboard, fiberglass and other non-metal surfaces
What is typically the range in which RFID tags can be detected?
Read range is adjustable from 1 to 30 feet
Invisi-Tag has integrated the best combination of RFID tags and readers for our system. Our System will allow items within an enclosed trailer to be detected up to 20-30 feet.
What are some of the most common applications for RFID?

Is RFID better than using Bar Codes?
Barcode is slowly starting to become obsolete. Barcodes require the user to scan one item at a time. The downside of using barcodes is that any bit of damage can render the label useless. The labels can be smeared, faded, torn or even destroyed and it is no longer functional. RFID is actually 10 times better than barcode. RFID tags can withstand rugged environments, ensuring they will always be detected. Even if an RFID label is smeared, faded or torn, the tag will be detected. Also, RFID does not require scanning one item at a time. Multiple tags can be detected all at once. Our system can detect between 80 – 120 tags in a matter of seconds. Lastly, the lifetime on an RFID tag, since being passive, is virtually infinite.
Does your system work like GPS?
GPS locating is used to pinpoint an accurate location of any object It requires a the use of satellite position electronics and a cost for implementation. RFID is more of a detection system. It is used to notify the user if the item is present or not. The system detects the items that are within a certain proximity. This proximity can be linked to your cellular device to set the location of the item only at the time of scan

What is required for the PSA software integration with Invisi-Tag?
To integrate PSA software with Invisi-Tag, you will need the following:
- A PSA software subscription
- An Invisi-Tag subscription
- An Invisi-Tag RFID scanner
- Invisi-Tag RFID tags
- A computer with the Invisi-Tag software installed
Once you have all of the necessary materials, follow these steps to integrate the two systems:
- Create an Invisi-Tag account and purchase a subscription.
- Purchase Invisi-Tag RFID tags and an RFID scanner.
- Install the Invisi-Tag software on your computer.
- Scan your equipment with the RFID scanner and add the information to the Invisi-Tag software.
- In PSA software, go to Settings > Integrations > Invisi-Tag.
- Enter your Invisi-Tag account information and click Save.
- Click the Sync button to sync your equipment information from Invisi-Tag to PSA software.
Once the integration is complete, you will be able to view your equipment information in both PSA software and Invisi-Tag. You will also be able to use the Invisi-Tag RFID scanner to scan equipment in PSA software.

How you can delete the incomplete inventory scan?
Currently, we cannot delete those reports however we have put in a special request to software to make it an admin function to delete the incomplete reports. We typically hold them so that management knows when equipment is missing and cannot be deleted.

How do we install just the basic tags on our equipment? I see two punch holes on each side but we are unclear of what the proper way of putting these on our equipment would be,
Those holes are for mounting the tag with pop, rivets, or self-tapping screws into your equipment.
I am unable to see an employee in our employee list. I need to reset his password however we are unable to locate his profile.
Try to delete the user and re-add
How can we tell what date equipment has gone in and to when it came out within a location.
Go into "Tag Management", search , and select the details button.
How to determine the location and history of specific equipment
Here's a step-by-step guide:
- Navigate to REPORTS/ Equipment Status Report.
- In the search bar, enter any identifying information about the equipment, such as the asset number, RFID tag, or model name.
- Select the equipment from the search results.
- Click "Details" to view its complete history, including location timestamps.
How to edit a tag when first getting the system
Since we already preload, the tags in the system doing tag assignment is really tag edit.
In IV Plus, go to tag assignment, connect the scanner, then dial down the scanner range, scan the tag, edit the tag
In the older version of Invisi-tag, go to set up select tag, edit, scan, barcode edit the tag
Can you show me how to transfer equipment into the location?

How do we know the last time equipment was scanned in our facility?

In transfer, create a new location named main warehouse, scan your main warehouse, and transfer
We have some machines that are being decommissioned. I have removed the tags physically but not in the system yet. I didn’t know if the physical tag could be saved and reassigned at a later date.
Yes you can rename the tags in the enterprise cloud system
Under the tag mgmt tab in the main menu, select the tag and edit the name and other fields.
I would like to add and change a type of equipment in Invisi-tag. We have extractor for both the carpet cleaners and extractors right now. I would like to add “Carpet Cleaner” to the type in Invisi-Tag.

How does the Invisi-Tag RFID System Work?
1. The Invisi-Tag RFID System is composed of four main components: a Reader (transmitter), Antennas, a Tag (transponder), and a Mobile Device.
2. The tag is made up of a microchip and an antenna, which is designed to absorb radio waves.
3. The portable scanner sends out radio waves to the tag.
4. As a result, the tag will absorb the radio waves, causing it to start up and send an identification signal back to the scanner.
5. The unique code that is sent by the tag is intercepted by the software on the mobile device.
6. Once the system retrieves the unique code, it is used to represent a tool, equipment, office furniture, assets, etc.
7. Finally, with this system, you can easily use your mobile device to detect any item and view its location on your phone.
How do I monitor what is in my warehouse?
Invisi-Tag’s Portable Scanners allows for fixed assets to be detected and counted Once all equipment/assets are tagged, a person can walk around with the Portable System in their warehouse and detect all items that are present. Once detected, the App will display a green listing for items present, red for items missing and yellow for items detected but not on the list.
Can we install Software and continue working if our original mobile device breaks
Yes, if you have our cloud account you can download the app on your device and log in to your account and sync and be back to operating
Can I log into the tablet without an internet connection?
The first time you open the app, the app will prompt you for your username and password. Internet connection is required at that time. After the account has been logged into, the prompt to ask for your username and password will not be asked again. In places where there are catastrophic situations, you won’t need an internet connection to scan the tags and transfer equipment. Information is stored on the mobile device until sync to the cloud is available. You’ll need an internet connection to sync.
How to edit a job location
If you need to change the GPS Location, you would do it via the app.
App Reports > Select Job Name > Bottom Right Button is GPS > Change location.
How to sync to update website
Open up the app > go to the main menu > scroll all the way down > select "sync"
Can you add or delete tags in fixed jobs?
Yes, in Setup under Job Edit.
How do I add other authorized users to the system?
The system allows three levels of additional users:
Administration - unlimited access
Supervisor - everything but delete
User - everything but delete and setup.
- You will need to contact us to add additional users. $5 per month for the multi-level user.
Can you add equipment that has not been tagged to existing jobs?
Yes, in Set-up, under job edit.
How can I upload an excel spreadsheet into the Invisi-Tag system through the computer?
In the enterprise site go to tag upload. Download the template provided. Fill in template. Select tag upload. Locate your file database. Please note, the file must be in .csv format to upload.
Additional symbols that are allowed include $#:/()&-.?
How do I get Fixed Job reports to come through on the website from the scan tool? I scan trailers once a day at the end of the work days, but never see job reports come through on the website after I finish scanning.
Please sync from the app. Force a full sync. Go to main page, click on I button and select full sync.
Job was not recorded by selecting pickup (record exception, discrepancies, create report, notification)
How do you power the In-Vehicle System?
Invisi-Tag's In-Vehicle System is designed to fit as an accessory into your vehicle. The system would tap into 12V harness of the truck and power the system whenever the truck was on.
How do you scan lockers of equipment that are right next to each other for inventory and not pick up all of the items in the vicinity?
When you do an inventory scan, all of your items that are supposed to be in that location will show up green on your screen and it will complete the scan. All of the other items that you pick up in that inventory scan will be yellow. You will know that you have what you are looking for if the scan completes and it is green.
What is the best way to upload tags, delete tags, etc?
The best way to upload tags is to download our CSV file from Enterprise, fill out the spreadsheet in the formatting provided. Go back to the Enterprise website under upload tags at the bottom of the page there is an uploader. Upload your tags.
How do I delete a tag from the Invisi-Tag app?
You can only edit a tag from the app. You can delete it on Enterprise.
How do I track equipment that I rented from another company?
You can strap an all-purpose or nonmetal tag to the equipment using a zip tie, name that equipment as rental and then you can reuse that tag for the next rental piece.
How to change a fixed job that is already in the system
The best way to change something in an existing "fixed job" is to login to your enterprise account. Click the 'Job List' tab. From the job list you can view, add tags, remove tags or edit the job name.
Troubleshooting
The tags do not come up for assignment.
The app has to be updated to read the tags
Two of our technicians are having problems scanning from their phones. Please let me know what we can do to troubleshoot why the phones are not scanning. They have deleted the app and reinstalled it. Is there a certain phone system that is needed?
Please check the permissions in the settings of the Android phones to make sure that the camera has been enabled
Also, double-check in tag management that the barcode fields are populated for the items that you were trying to scan
Go to the tag management menu
Search for the items that you are not able to scan
In the right-hand column, there's a barcode field -- make sure the barcode shows up there
If the barcode field is blank, there is a tab in the upper center of the page that allows you to automatically transfer the barcode from the RFID number
I want to add a piece of equipment at a later date that is not on the drop down. Would I have to basically export tag numbers and then reimport?

The RFID Reader is not connecting to their phone, even after uninstalling and reinstalling the app.
There are a few possible reasons why your Invisi-Tag RFID Reader is not connecting to the app. Here are some troubleshooting tips:
*1. Make sure the reader is turned on and charged.* The reader should have a green light on when it is turned on. If the light is red, the reader needs to be charged.
*2. Make sure the reader is within range of the app.* The reader should be within about 30 feet of the app. If the reader is too far away, the app will not be able to connect to it.
*3. Make sure the reader is paired with the app.* You can pair the reader with the app by going to the Settings menu in the app and then selecting "RFID Reader." The app will scan for nearby readers and allow you to select the one you want to pair.
*4. Restart the app and the reader.* Sometimes, a simple restart can fix connection problems.
*5. Make sure the app is up to date.* The latest version of the app may have bug fixes that could resolve your connection issue.
Any recommendations for getting the tags to scan if the scan device isn't picking them up? I know we can always scan with the tablet, too, I was just hopeful that there was some secret step that I was missing that would keep us from having to use the tablet's camera to scan.
These are metal label tags and must be on metal surfaces to scan.
These tags maybe exposed to water and may be damaged.
For the tag list, I want to show the Tag Name and the Type. Currently under the "Type" there is a drop-down menu showing several pieces of equipment. Is there a way to change this drop-down menu to include the equipment we use (i.e., portable toilet unit, handwash station, unit on trailer, etc.)?
The best way to handle this is to export the list in "tag list" to excel, fill in your information i.e. name, type, cost, etc. Then upload information via tag upload.
Cannot charge and reader is not working at all. Would also like to know how much to replace if needed
Here are a couple of quick troubleshooting steps you can try on your own:
Remove and replace the battery. Hold the scanner by the handle and locate the yellow tab just above your thumb. Push the tab upwards and slide the handle back and off. Remove the rectangular battery pack from under the unit where the handle was located. (Ensure you align the gold contacts when replacing the battery.)
Observe the LED lights. Plug the scanner back in and watch the yellow LED on the side. After about 10-20 seconds, the orange light should begin to blink rapidly and then transition to a pattern of one blink (0-33%), two blinks (34-66%), or three blinks (67-100%). If the orange LED remains in rapid blinking mode, there's a battery issue.
Check the USB charging port. If you plug in the device and nothing happens, the USB charging port might be damaged, and you may need a new handle.
Test the trigger. If pulling the trigger causes a beep or vibration but doesn't scan, following the troubleshooting steps should resolve the issue unless there's an antenna problem.
Here are your options for resolving the issue:
Send the unit for repair. We can inspect the unit for a diagnostic fee of $80.
Order a replacement part. If you've identified the faulty component, let us know the part you need, and we'll provide a quote.
Purchase a new scanner. The cost of a new scanner is $1575.00.
We are seeing major discrepancies in the enterprise system. Our mobile app indicates the accurate number of equipment at each location and in trucks. The enterprise system is not. We are concerned as this has not resolved after several days.
There are a few possible reasons why you might be seeing discrepancies in the enterprise system versus the mobile app:
- Data synchronization issues: The two systems may not be syncing data properly, resulting in outdated or inaccurate information in the enterprise
You must sync ALL devices at one time short time frame to see which device has outdated data. Data is displayed on a last-synced basis.
Make sure that the device with the correct data is last to sync to the cloud
To identify the root cause of the discrepancies, you will need to investigate further. Here are some steps you can take:
- Compare the data in the two systems: This will help you to identify where the discrepancies are occurring and to determine whether they are affecting all locations and trucks, or just a subset.
- Review the data entry process: Make sure that data is being entered correctly into the enterprise system.
In the meantime, you may want to consider using the mobile app as the primary source of truth for the number of equipment at each location and in trucks. This will help you to ensure that you have the most accurate information available.
Make sure that the device that has the correct data is the last device to sync to the enterprise account
Why didn't I receive my reset password email?
Check your spam box! Automated emails often get pushed to spam.
My Variance Report is showing "dispatched". I have had everyone force full sync and these pieces still show "dispatched". Can you clear this for me so I can run a new Variance report?
To close this, you will need to return those tags from the dispatch list. You can do so by going to the allocation screen on the Invisi-Tag app and selecting "return to warehouse".
Characters/symbols are not allowed when inputting tags, i.e. ‘ for feet
If you have the location feature, you can’t delete equipment from the location, our support team has to do that.
Login for employees is the login number
Why do I get a "contact your administrator" warning when I try to move a tag manually?
You need to go into the Enterprise website, employees tab, and enable yourself as a manual user. Make sure you sync back down from the app and also make sure you're logged in under your employee ID in the app so that you can use that function.
How to reset your tablet
If you cannot remember a PIN code, you may try performing a hard reset on the device by using these instructions:
1) Turn off the device.
2) Press and hold the Volume Up key and the Home key, then press and hold the Power key.
3) When the Samsung Galaxy Tab A logo screen displays, release all of the keys, then press and quickly release the Power key
4) "Installing System Update" will show for about 30-60 seconds, then a "No command" Android will appear before showing the Android system recovery menu options.
5) Press the Volume down key several times to highlight "wipe data / factory reset".
6) Press Power button to select
7) Press the Volume down key until "Yes -- delete all user data" is highlighted.
8) Press Power button to select and start the master reset.
9) When the master reset is complete, "Reboot system now" is highlighted.
10) Press the Power key to restart the device.
